The Information (services) Department provides methodological assistance to students in matters of the course or organisation of studies and academic-administrative services.

Personal data

To correct personal data:

  • When logging in to the study information system (LSMUSIS) for the first time, you must check your personal and contact data;
  • Inform the dean within 3 days about the inaccuracies (fill out the form);
  • This application is not suitable for you if you have changed your name/surname (for information, see “How to change your name/surname in the student register?” ).

To change your name/surname:

  • Complete this form if you have changed your name or surname;
  • This form is not suitable for you if you found inaccuracies in your personal and contact data (for information, see “How to correct personal data?” ).
  • After receiving the confirmation, check whether the name/surname has been changed correctly.
  • Log in
  • Select “Submit a new request” ;
  • Select the study programme and the application form “Regarding the clarification of personal data/change of surname”;
  • Click “Make a request” ;
  • Fill out the application form, indicate the changed name or surname;
  • Attach copies of documents confirming the reasons (personal identity document, marriage certificate, divorce certificate, name/surname change certificate, personal identity document).
  • “Being prepared” – the request has not been submitted; you can edit it. The edited and corrected application must be “Submitted”;
  • “Submitted request” – the request has been executed;
  • “Order being prepared” – means an order is being prepared to satisfy the request;
  • “Satisfied” – the order has been approved by the rector;
  • “Rejected” or “Returned for repair” – see the “Mediation section” for an explanation.
Student cards and certificates

The study centre produces and issues a student card in accordance with the established procedure. The procedure for issuing and using the LSMU student card can be found here

HOW TO GET A CERTIFICATE OR CERTIFICATE OF STUDIES?

You can request a certificate:

  • about studies, duration of studies and financing;
  • about the dormitory fees (must live in a dormitory);
  • about paid contributions for studies, contributions for education at VMI (payments must have been made);
  • about accrued and paid wages and other benefits (relevant contracts must be concluded).

 You can request a study certificate – a transcript of your grades. This certificate is not a certificate that you are studying!

  • Log in
  • Select “Submit a new request” ;
  • Choose the study programme;
  • Specify the language in which to issue the certificate and the recipient of the certificate (clearly and accurately, because what you enter here will be printed on the certificate, there is no need to indicate the reason);
  • Click “Make a request”.
  • “Being prepared” – the request has not been submitted; you can edit it;
  • “Submitted request” – the request has been executed;
  • “Rejected” – see explanation in the “Mediation section” ;
  • After making the specified changes, resubmit the request;
  • “Ready for collection” – certificate/study certificate to be prepared.

When the status changes to “Ready for collection”:

  • collect the certificate in the Student Information (services) Department ;
  • study certificate – at the dean’s office.

International Relations and Study Centre together with representatives of foreign students prepared and coordinated the calendar of religious holidays.  On these days students are free to celebrate their religious holidays, however they need to complete missed tasks on a settled time that is provided by the study departments.

Information about crediting subjects/modules

Dear students, we would like to inform you that in accordance with the new procedure of the Study Regulation, in order to credit the study results, we ask you to deliver all the necessary documents to the dean’s office. Detailed information on the crediting of study results can be found in the Study Regulations.

Final thesis

If you have good reasons to defend your final thesis before or after the scheduled time, you must fill out an application at LSMUSIS.

You can apply for retaking the final exam if:

  • You failed the final exam and were removed from the student list. Do not forget that the request “Regarding renewal of studies, admission to a higher course” must already be submitted and approved.
  • If you want to retake the final exam for a better grade, retaking is paid and is possible no earlier than one year later.
  • Log in
  • Select “Submit a new request” ;
  • Select the study programme and the application form “Regarding postponement of the defence of the final thesis” / “Regarding the permission to defend the final thesis earlier” / “Regarding the retaking of the final exam”;
  • Click “Make a request” ;
  • If documents are required for obtaining a permit, please attach copies of them
  • “Being prepared” – the request has not been submitted; you can edit it. The edited and corrected application must be “Submitted”;
  • “Submitted request” – the request has been executed;
  • “Approved…” – the request is executed by the responsible department or person;
  • “Satisfied” – the order has been approved by the rector;
  • “Rejected” or “Returned for corrections” – see the “Mediation section” for an explanation.
Appeals

An appeal can be submitted for:

  • Regarding assessment results within 1 day from the announcement to the dean;
  • Regarding the exam results within 2 days from the announcement to the dean;
  • Regarding evaluation procedures, within 1 day from the evaluation to the dean;
  • Final exam or final thesis assessment and procedures within 1 day to the rector.

Look for the appeal hearing date in the “Mediation section”. You must attend the hearing, if you cannot, inform the commission so that a new hearing date is set.

  • The appeal regarding credit, exam, assessment procedures must be examined within 14 days from the date of the appeal;
  • The decision of the appeal commission is submitted in registered note and electronically no later than 2 days after the decision is made.
  • Log in
  • Select “Submit a new request” ;
  • Choose a study programme and request form;
  • Click “Make a request”;
  • Fill out the request form, be sure to indicate clear and reasoned reasons for the appeal, otherwise the appeal may be rejected;
  • Attach copies of documents confirming the reasons (documents proving violations of assessment procedures, etc.).
  • “Being prepared” – the request has not been submitted; you can edit it. The edited and corrected application must be “Submitted”;
  • “Submitted request” – the request has been executed;
  • “Approved…” – the request is executed by the responsible department or person;
  • “Satisfied” – the order has been approved by the rector;
  • “Rejected” or “Returned for corrections” – see the “Mediation section” for an explanation.
Adjustment of the course of study

You can apply for another study programme by:

  • re-enrolling through LAMA BPO;
  • changing the study programme;

This can be done:

  • no earlier than after completing the studies of the first semester of the first year of study, later – after each semester after completing a semester without academic debts;
  • fill out this application no later than 10 days before the start of the new semester.

You will be informed about the change of the study programme by registered mail and/or electronically within 5 days

  • The change of the study programme is formalised by signing a new study agreement at the Study Centre;
  • If there are differences in study programmes, you must eliminate them within one calendar year;
  • For information on studying additional subjects, see “How to attend additional classes?”

It is possible to change the form of studies from permanent to part-time and vice versa if such forms are implemented.

This request can be made by:

  • no earlier than after completing the studies of the first semester of the first year of study later – after each semester;
  • after completing the semester with no academic debt.

Fill out this application no later than 10 days before the start of the new semester. The change of the study programme is formalised by signing a new study agreement.

  • The change of the study form is formalised by terminating the current one (within 3 days, submit the request “Regarding the termination of studies, with removing from the list of students”, indicate the studied study programme) and signing a new study agreement at the Study Centre.
  • If there are differences in study programmes, you must eliminate them within one calendar year. For information on studying additional subjects, see “How to attend additional classes?”

Students can change the elective subject, but the procedures for changing the subject must be completed before the start of the studies of the subject.

It is also possible to attend additional classes, become a listener or attend lectures on an individual schedule after submitting an application. In all these cases, the student must submit an application via LSMUSIS.

  • Log in
  • Select “Submit a new request”;
  • Select the study programme and application form “Regarding the study programme/form of studies/change of optional subject/permission to attend additional classes/listener admission/individual study schedule”;
  • Click “Make a request”;
  • Fill out the application form, specify the date and course;
  • If documents are required, attach their copies (health certificate, birth, death certificates, etc.).
  • “Being prepared” – the request has not been submitted; you can edit it. The edited and corrected application must be “Submitted”;
  • “Submitted request” – the request has been executed;
  • “Approved…” – the request is executed by the responsible department or person;
  • “Order being prepared” – means an order is being prepared to satisfy the request;
  • “Satisfied” – the order has been approved by the rector;
  • “Rejected” or “Returned for corrections” – see the “Mediation section” for an explanation.

INFORMATION ABOUT ACADEMIC LEAVE AND DEBT

Academic leave

Academic leave can be granted at any time of the academic year:

  • Due to sickness;
  • Due to pregnancy;
  • For baby care;
  • For personal reasons.

During the academic leave, you can repeat subjects (modules) from which academic debts have arisen and eliminate them.

You will have to submit separate applications for elimination of debts during the academic leave.

Academic leave may be extended:

  • Due to sickness;
  • For baby care;

Academic leave can be extended for one year, but not more than three years in a row.

10 working days before the end of the appointed academic leave, submit a request “Renewal of studies” or “Regarding extension of academic leave”

Academic leave may:

  • be extended by submitting a request “Regarding the extension of academic leave”;
  • be terminated by submitting a request “Regarding Termination of Academic Leave”.

Academic leave can be terminated before the end of the term.

You must start your studies from the date indicated in the “Mediation section”.

  • Log in
  • Select “Submit a new request” ;
  • Select the study programme and the application form “Regarding the granting/extension/termination of academic leave due to…” ;
  • Click “Make a request” ;
  • Fill out the application form, indicate the beginning and end of the academic leave;
  • If necessary, attach copies of documents confirming the reasons (health certificate, child’s birth certificate).
  • “Being prepared” – the request has not been submitted; you can edit it. The edited and corrected application must be “Submitted”;
  • “Submitted request” – the request has been executed;
  • “Approved…” – the request is executed by the responsible department or person;
  • “Order being prepared” – means an order is being prepared to satisfy the request;
  • “Satisfied” – the order has been approved by the rector;
  • “Rejected” or “Returned for corrections” – see the “Mediation section” for an explanation.
Academic debt

Eliminate academic debt:

  • For the first time – during the semester debt liquidation week (you need to submit a request to the head of the department responsible for the module/subject);
  • The second time – during the debt liquidation week of the academic year (the application must be submitted through LSMUSIS);
  • If you are on academic leave, submit a request “Regarding retaking the exam during academic leave” for debt elimination.

Collect the permit at the Study Centre (individual journal), to pass an assessment, an exam or to submit independent work (project)

  • Pick up the permit (individual journal) by the day specified in the schedule;
  • Remember that if you do not clear the academic debt you will have to repeat the subjects/modules/course;
  • Submit the completed individual journal to the dean’s office.

Subject/module studies are repeated:

  • After failing the subject (module) exam three times;
  • After failure to eliminate the academic debt during repeated studies;
  • It is possible to repeat the same semester or course no more than twice;
  • If more than one subject (module) is repeated, fill out the application for each different subject (module);
  • If you are on academic leave to repeat a subject/module, submit a request “Regarding repeating the study of a subject (module) during academic leave”.
  • Log in
  • Select “Submit a new request” ;
  • Select the study programme, the application form “Regarding the liquidation of academic debts”, “Regarding retaking the exam during the academic leave”, “Regarding repeating the studies of a subject (module)” or “Regarding repeating the studies of a subject (module) during the academic leave” , select the subject and date;
  • Click “Make a request” ;
  • Fill out the application form, indicate the reasons for repeating the subject/module;
  • If documents are required for obtaining a permit, please attach copies of them.
  • “Being prepared” – the request has not been submitted; you can edit it. The edited and corrected application must be “Submitted”;
  • “Submitted request” – the request has been executed;
  • “Approved…” – the request is executed by the responsible department or person;
  • “Order being prepared” – means an order is being prepared to satisfy the request;
  • “Satisfied” – the order has been approved by the rector;
